HR & Recruitment Specialist
Job Description Roles & Responsibilities Recruitment and Candidate Experience Coordinate recruitment for teaching, administrative and operational positions. Prepare job descriptions and publish vacancies through suitable platforms and agencies. Screen applications and coordinate interviews, assessments and selection processes. Maintain clear and timely communication with candidates. Coordinate offers, references, qualification checks and pre-employment documentation. Maintain candidate pipelines for recurring and difficult-to-fill roles. Ensure candidates receive a professional and well-organised experience throughout the recruitment process. Pre-joining and Onboarding Coordinate the process from offer acceptance to the employee’s start date. Support new employees with documentation, visa requirements, relocation and joining information. Maintain regular communication with candidates during the pre-joining period. Prepare onboarding schedules, checklists and induction plans. Coordinate with IT, administration, finance and department heads to ensure new employees are ready to begin work. Conduct structured check-ins during the first week, first month and probation period. Collect new-starter feedback and identify areas for improvement. Employee Support and Case Coordination Act as a central point of contact for employee queries, requests and concerns. Ensure employee matters are recorded, assigned and followed through to completion. Coordinate employee cases involving different departments. Provide employees with clear updates on the status of their requests. Identify delays, repeated issues and unclear responsibilities. Escalate sensitive, legal, disciplinary or safeguarding matters to the appropriate school leader. Maintain appropriate confidentiality when handling employee information. Employee Engagement and Retention Support employee engagement, recognition and staff communication initiatives. Conduct employee check-ins, feedback surveys and pulse surveys. Identify concerns that may affect employee satisfaction or retention. Work with managers to address recurring employee issues. Support staff development and internal progression where appropriate. Monitor employee turnover and identify common reasons for resignations. Provide leadership with practical recommendations to improve employee retention. Probation and Performance Coordination Track probation periods and employee review dates. Ensure managers complete probation and performance reviews on time. Coordinate documentation and follow-up actions arising from reviews. Support employees and managers in understanding performance expectations. Monitor agreed development or improvement actions. Escalate unresolved probation or performance concerns appropriately. Employee Records and Administration Maintain accurate and confidential employee records. Track contracts, probation dates, document expiries, visas and other key employment deadlines. Prepare employee letters, confirmations and internal HR documentation. Maintain recruitment, onboarding and employee-case trackers. Ensure employee information is complete and updated in the relevant systems. Support compliance with school policies, Saudi employment requirements and safer-recruitment procedures. Offboarding and Exit Experience Coordinate employee resignations and offboarding activities. Ensure exit requirements, clearances, handovers and documentation are completed. Conduct or coordinate exit interviews. Record and analyse reasons for employee departure. Ensure departing employees receive clear communication and a professional exit experience. Provide leadership with feedback and recommendations arising from employee exits. Process Improvement and Reporting Review employee-facing processes and identify delays, duplication and communication gaps. Develop clear procedures for recruitment, onboarding, employee support and exit. Clarify responsibilities across HR, finance, IT, administration and department managers. Support the use of digital tools, workflow systems and automation. Prepare regular reports on recruitment, onboarding, employee cases, engagement, retention and turnover. Track agreed improvement actions and ensure they are completed. Desired Candidate Profile Essential Bachelor’s degree in Human Resources, Business Administration, Management, Psychology, Hospitality Management or a related field. Relevant experience in recruitment, HR, people operations, employee engagement, hospitality, customer experience or another people-focused role. Experience coordinating multiple recruitment, employee, guest or service-related cases. Excellent interpersonal, communication and relationship-management skills. Strong organisation, coordination and follow-up capability. Ability to work effectively across different departments and stakeholder groups. Strong attention to detail and record-management skills. Ability to handle confidential and sensitive information appropriately. Proficiency in Microsoft Office and experience using HR, recruitment, CRM or case-management systems. Fluency in English. Desirable Experience in a school, education, hospitality or service-focused organisation. Experience improving employee, customer, guest or candidate experience. Academic or professional background in psychology, organisational behaviour or employee wellbeing. Knowledge of Saudi employment practices and documentation requirements. Experience with international recruitment, visas or relocation. Experience conducting interviews, employee check-ins, feedback sessions or engagement activities. Arabic-language capability Strong conflict-resolution, empathy and problem-solving skills.
