Fire Coordinator

Job Description Roles & Responsibilities Fire Safety AMC Contracts Ensure valid contracts are in place for fire system maintenance across all units Monitor contract expiry status via CAFM software and initiate renewal 100 days in advance Coordinate with vendors and internal stakeholders to finalize and sign off contracts Maintain contract records in CAFM software Hassantuk (24/7) Monitoring Manage Hassantuk panel registration and installation at new and existing units Coordinate with authorities and vendors to prepare sites for panel installation Manage Hassantuk payments for all new and existing units Maintain Hassantuk status in CAFM software DCD Approved AMC Contracts Coordinate with fire system AMC vendors to prepare and submit requests for DCD-approved maintenance contracts Coordinate with vendors and internal stakeholders to finalize and sign off DCD-approved contracts Maintain the status of DCD-approved contracts in CAFM software Building Safety Certificates (Civil Defense Certificates) Obtain building safety certificates from Civil Defense by ensuring full compliance with requirements Track and monitor all safety certificates through CAFM software and facilitate renewals Legal Compliance Ensure 100% legal compliance, with zero breaches of statutory requirements and zero notices/penalties from authorities Close all safety notices issued by authorities within the allocated timeframe Fire Safety Compliance Dashboard & Reporting Provide monthly reports on AMC status, fire system PPM completion rate, reactive work orders, etc. Report on compliance issues and outstanding maintenance requirements Report on legal exposure risks to the business units. Maintain a dashboard tracking fire compliance percentage across all activities Fire System Asset Management Maintain an asset list for all new and existing units Monitor and track asset expiry (e.g., fire extinguishers) and plan/budget for replacement Plan and budget for asset replacements and upgrades as required Remove assets from CAFM for all closed units Fire Safety Rectifications Receive all PPM reports and identify rectification needs Raise Maintenance Request Forms (MRFs) through FM to Procurement Follow up on MRF, PR, and PO approvals/issuance to ensure timely rectification Fire System Contractor Management Ensure PPM planners and schedules are in place for all units Ensure all AMC contractors complete PPM schedules and respond to reactive complaints within contractual SLAs Monitor contractor KPI compliance and share scorecards with vendor, finance, and procurement for appropriate action per the contract agreement Follow up on invoices and payment status with internal finance Maintain strong vendor relationships to ensure timely response Fire System Auditing Conduct fire safety audits across units and identify potential gaps Follow up with relevant departments to ensure timely closure of audit findings Other Responsibilities Address areas of non-conformance with the operations team and implement corrective actions Facilitate fire system training and awareness sessions through AMC providers Desired Candidate Profile 2 to 4 years of relevant experience Engineering diploma in Fire Safety or relevant field Certification in Safety Management (NEBOSH, IOSH, ISO 45001), NEBOSH International certificate in fire safety preferred Prior experience in facility management, healthcare, and fire system maintenance company is preferred.
