Finance Manager (Property Management)

Job Description Roles & Responsibilities We are seeking an experienced, commercially driven, and detail-oriented Finance Manager to lead the finance function for the Company's property management and leasing operations. The role will be responsible for overseeing the financial management of the property portfolio, with a strong focus on rental income, tenant accounts, receivables, collections, lease-related transactions, budgeting, cash flow, financial reporting, controls, and compliance. The successful candidate will work closely with senior management, Leasing, Property Management, Operations, and other stakeholders to provide accurate financial insights, strengthen financial controls, improve collections, and support commercially sound business decisions. Key Responsibilities Financial Management & Reporting Lead the monthly, quarterly, and annual financial close process and ensure timely and accurate management reporting. Prepare and review P&L, balance sheet, cash flow statements, management accounts, and variance analysis for the property management and leasing portfolio. Review Actual vs. Budget performance and provide detailed analysis and commentary on significant variances. Coordinate with Business and Department Heads to obtain explanations for material variances and ensure appropriate corrective actions are identified. Monitor the financial performance of individual properties and provide management with meaningful financial and commercial insights. Ensure the integrity of financial records through effective reconciliations, controls, and timely resolution of discrepancies. Leasing & Tenant Accounting Oversee accounting for rental income, lease-related transactions, security deposits, tenant receivables, refunds, credit notes, adjustments, and settlements. Ensure timely and accurate recording of rental invoices, receipts, adjustments, and other tenant-related transactions. Monitor tenant accounts and ensure that outstanding balances are accurately reflected in the accounting and property management systems. Review tenant statements and ensure discrepancies are investigated and resolved promptly. Work closely with the Leasing and Property Management teams on lease renewals, amendments, rent adjustments, incentives, discounts, and other financial implications of leasing arrangements. Ensure proper accounting treatment of lease-related income and expenses in accordance with applicable accounting standards and Company policies. Receivables & Collections Take ownership of the tenant receivables and collections reporting process. Prepare and regularly review tenant aging reports, collection analysis, overdue reports, and collection forecasts. Monitor overdue rental accounts and coordinate with Leasing, Property Management, and Collection teams to ensure timely follow-up and recovery. Track agreed payment plans and ensure that payments are received in accordance with approved arrangements. Escalate long-outstanding or high-value receivables to management and provide recommendations for appropriate action. Monitor collection performance against targets and identify trends, risks, and opportunities for improvement. Budgeting & Cash Flow Lead the preparation of annual budgets, forecasts, and financial projections for the property management and leasing portfolio. Prepare property-level income and expenditure budgets and monitor performance against approved budgets. Develop and maintain property cash flow forecasts, including expected rental collections, operating expenses, capital requirements, and other significant cash movements. Monitor cash flow requirements and coordinate with management and relevant stakeholders to ensure sufficient liquidity for operational requirements. Support management in evaluating the financial impact of leasing and property-related commercial decisions. Property & Operating Expenses Review property-related operating expenses and ensure they are properly recorded, supported, approved, and allocated. Monitor actual operating expenses against approved budgets and investigate significant variances. Review vendor balances and ensure timely reconciliation of supplier accounts. Work with Property Management and Operations teams to identify opportunities for cost control and improved financial efficiency. Reconciliations & Financial Controls Ensure timely reconciliation of tenant accounts, bank accounts, vendor accounts, rental income, security deposits, and other balance sheet accounts. Establish and maintain effective financial controls over billing, collections, refunds, payments, and financial reporting. Ensure all financial transactions are supported by appropriate documentation and approvals. Identify control weaknesses and implement improvements to reduce financial and operational risks. Ensure proper segregation of duties and adherence to the Company's financial policies and procedures. Tax, Audit & Compliance Oversee UAE VAT and Corporate Tax compliance, including calculations, reconciliations, filings, and supporting documentation. Coordinate with external tax advisors and ensure timely resolution of tax-related matters. Support internal and external audits and provide accurate financial records and supporting documentation. Ensure compliance with applicable IFRS, UAE tax legislation, regulatory requirements, and Company policies. Keep management informed of significant accounting, tax, compliance, and financial risks affecting the business. Systems, Processes & Automation Ensure the effective use of the Company's ERP and property management/leasing systems for financial and tenant accounting. Identify opportunities to improve financial processes, reporting, collections, reconciliations, and controls through automation and system enhancements. Work with IT and relevant stakeholders on system implementation, integration, reporting, and process improvement initiatives. Develop and maintain accurate financial dashboards and KPIs for management reporting. Business Partnering & Leadership Partner closely with Senior Management, Leasing, Property Management, Operations, Legal, and other departments to provide timely financial guidance and support. Provide clear and commercially relevant financial analysis to support business decisions. Advise management on the financial implications of leasing strategies, tenant settlements, payment plans, discounts, write-offs, and other commercial arrangements. Lead, coach, and develop the finance team while ensuring accountability, accuracy, and timely delivery of financial activities. Promote a strong culture of financial discipline, compliance, accountability, and continuous improvement. Desired Candidate Profile Bachelor's degree in Finance, Accounting, Commerce, or a related field. Professional qualification such as ACCA, ACA, CPA, CIMA, or equivalent is preferred. 10–12+ years of progressive finance/accounting experience, preferably with significant experience in UAE/GCC property management, real estate, leasing, or a related industry. Strong experience in property/tenant accounting, rental income, accounts receivable, collections, budgeting, cash flow management, and financial reporting. Strong knowledge of IFRS, UAE VAT, and UAE Corporate Tax. Proven experience managing tenant receivables, aging, collection strategies, payment plans, refunds, security deposits, and account settlements. Experience with property management/leasing accounting systems and ERP platforms. Strong understanding of budgeting, forecasting, variance analysis, financial controls, and management reporting. Experience coordinating internal and external audits. Advanced proficiency in Microsoft Excel and financial reporting tools. Strong analytical, commercial, leadership, communication, negotiation, and stakeholder management skills. High level of attention to detail, integrity, accountability, and ability to work in a deadline-driven environment.
