Job Overview
Key Responsibilities
- Ground Mobility & Transport Coordination: Coordinate all crew movements between airport, accommodation, offshore bases, and operational sites across UZ, H&G, SARB, and Jack-ups
- Ensure all airport transfers are aligned with flight schedules provided by the Travel Coordinator
- Manage and supervise daily driver activities, vehicle allocation, and trip scheduling
- Arrange additional vehicles from approved vendors to meet operational demand
- Respond to last-minute changes, delays, and emergency movements to ensure continuity of operations
- Accommodation Management: Coordinate and manage crew accommodation (hotels / workers village / other facilities)
- Ensure timely booking, check-in, and check-out coordination based on mobilisation plans
- Maintain daily communication with accommodation providers to ensure availability and readiness
- Track and maintain accurate records of crew allocation across all accommodation types
- Provide daily accommodation status reports to relevant stakeholders
- Execute transportation requirements based on plans issued by the Personnel Logistics Coordinator
- Coordinate closely with the Travel Coordinator to align: Arrival/departure timing / Airport transfers and Accommodation readiness Support smooth handover between flight arrival and on-ground logistics execution
- Escalate any mobilisation risks or conflicts to the Operations Team Leader
- HSEQ and regulatory compliance: Follow all TWMA, work site and regulator procedures at all times
- Ensure safe working practices at all times
- Address any concerns and take appropriate actions in conjunction with TWMA procedures
- Adherence to country specific travel regulations stipulated by UAE Government
Desired Candidate Profile
Qualifications / Training (E – Essential / P – Preferred): Diploma in any discipline, or high school certificate with relevant admin experience of at least 3 years if relevant qualification is not available (E). Bachelor’s degree in business administration, Logistics, or related field (P) IATA or equivalent travel industry accreditation (P) Certification in Travel Management Systems or similar (P) Experience(s) (E – Essential / P – Preferred): Minimum of 2 years previous work experience in similar or administration role (E) Proven customer focused work experience within UAE (E) Demonstrate proven experience in coordinating & monitoring administration process, organising own work effectively and setting priorities in order to meet competing deadlines (E) Excellent skills in basic Microsoft Office packages (i.e., Excel, Word, PowerPoint) (E) Knowledge in advanced computing skills including OS & advanced MS office package skills (i.e., Excel, Word, PowerPoint) including advanced functions such as pivot tables, VLOOKUP, and macros (P) Previous experience in the offshore projects including knowledge of terminology used (P) Familiarity with crew rotation schedules and offshore mobilization (P) Experience using corporate travel booking systems (P) Working knowledge of international travel regulations and visa processes (P) Knowledge / Skills / Competencies (E – Essential / P – Preferred): Excellent interpersonal and communication skills in (written and verbal) in English (E) Strong organisational and multitasking ability (E) Ensures that important information is shared with employees and others as appropriate (E) Customer centric attitude(E) Adaptable, flexible, and positive attitude towards change (E) Good team player with the ability to also work on own initiative (E) Dedicated to promoting a positive image of the company (E) Ability to work under pressure and handle emergency travel situations (E) Strong cost optimisation awareness and travel budget tracking (E) Ability to work with less supervision and track multiple processes (E) Competent in applying defined systems of work (P) Exceptional organisational skills and ability to liaise with all management level members and external suppliers. (E) Willingness and ability to respond to emergencies outside working hours (E) UAE driving license (P) Complying with Procedures: Ensure compliance with the Company and Client operating policies and procedures. Ensure compliance with the Company Health and Safety policy. Be aware of company conditions of employment as detailed in the Employee Handbook. Liaise with the HR Department to assure compliance with current employment law legislation and contract of employment. Employment Type Full-time
